Campus Systems

In the Arts Division we use a multitude of different campus wide systems. Here is a collection of useful information about these systems including links to learn more about the required software and training. FIS / Banner
The Financial Information System (FIS) for UCSC is called Banner. It is an online system for processing financial and acquisition information in support of the daily operations of the campus. It supports purchasing/acquisitions, accounts payable, operating and general ledgers. It sends monthly data to Office of the President for the Corporate Financial System.

This system maintains all FOAPAL activity for all units, including appropriations, income, expenditures, overhead, liens, and balances forward. It also maintains current fiscal year-to-date and prior year totals.

You must get training on Banner in order to use the Citrix based system. Cat's software page has information on account request:

DWH
UCSC's Data Warehouse was created to allow campus staff access to information from various source systems for their use in (1) analysis and decision-making, (2) providing standard and ad hoc reports to peers, (3) meeting their unit's business objectives.

To that end, the Data Warehouse currently receives data from the financial (FIS), personnel (PPS), student (SIS), and facilities (FDX) systems. This historical data is then held in an Oracle database and is made available to campus staff, utilizing Business Objects™ software.

You must get training on Business Objects in order to use the DWH. Classes are not frequent so sign up as soon as possable.

PPS
The Payroll Personnel System (PPS) has been designed by the Office of the President (UCOP) and is used by all of the University of California campuses. The Santa Cruz campus utilize staff from the Office of the President to maintain the system. PPS is composed of several subsystems that provide the capability to view and update employee records, calculate pay, and report information. The subsystems include: EDB Entry/Update, EDB Inquiry, Time Reporting, and History Inquiry.

The PPS home page is very compleat in information and training. Cats also has a software page for PPS. In general PPS is accessed through a telnet-like client tn3270 on Macintosh

SIS (Soon to be Replaced - see AIS)
The Student Information System is maintained by the Office of the Registrar. It contains information about the students here at UCSC. No training is required to get an account. Information on getting an account and the correct software required to use the system can be found on the Cats SIS software page.

AIS
The Academic Information System is due to be released in 2003(?). PeopleSoft is making the system. You can learn all about the ongoing planning of this system at the AIS home page. In general the system will replace the current SIS system and offer web services to the students along with a plethora of other features.

NES
The Narrative Evaluations System allows instructors to have direct access to enrollment lists and narrative evaluations. Once students are registered in the class, the instructor can download/list students' e-mail addresses and check who is currently enrolled. Additionally, the instructor can download and list all of the missing evaluations, access their course descriptions and previously written evaluations, and input their evaluations. This data is accessible through the Data Warehouse and through an online system.

FDX
Facilities Data System maintains data on buildings and rooms on campus. It produce reports by building, department, federal grant, program code and roomtype and produces room and building files for Office of the President. This information is available through the Data Warehouse system.

DivData
The Faculty Salary Database holds all history about faculty at UCSC. The system, in File Maker Pro 5 (hrfmp.ucsc.edu), allows Divisional managers to view the salary information about their faculty so that they may better manage their corses costs and effectiveness. In the Arts Division each Department Manager has access to their faculty information. Their is no online documentation to this system. If you need access or have questions please address your concerns to Jan Cloud. Some of the information in this system is used in our Divisional CLP.

NetOps
CATS (Communications & Technology Services) uses the Network Operations system to keep track of the CATS network data and managing of annual bills. A related web service that CATS provides is a status of the network at UCSC.

Campus Directory
A web system that allows a user to search for contact information on any faculty or staff.

InfoView
The web front-end of the campus data warehouse. InfoView allows users to run reports created within Business Objects. Contact Lyle Troxell in the Arts Division for more information.
